Fee, Cancellation and Report Policy

Late Payment Fee

Consultation fees are required to have been paid by the conclusion of your appointment. A late payment fee of $40 will apply for invoices paid after appointments.

Cancellation Fee

If you are unable to attend your appointment or require it to be rescheduled, you as the client, are required to inform Mindsight Wellbeing. Cancellations of less than 48 hours notice will lead to a cancellation fee based on the following structure:

25-48 hours notice: The cancellation fee is 50% of the session fee
Less than 24 hours notice or failing to show on the day: The cancellation fee is 100% if the session fee

This fee will be invoiced to you, the client, to be paid within 5 days of your missed appointment, and invoices must be finalized before the next scheduled appointment for that appointment to go ahead. Late payment fees apply for invoices outstanding after 5 days.

Additional Fees

Additional fees apply should you require a report, letter or supporting documentation outside of what is required under Medicare or VOCAT. Report writing fees are charged at $125 + GST per half hour and invoices are required to be paid before reports are released.

Medicate and Health Insurance Rebates do not apply to cancellation fees or reports.

Client Wellbeing Policy

To provide a healthy and safe environment for everyone in the clinic, all parties are responsible for taking relevant precautions to minimize exposure to viruses as well as physical and emotional harm. Further, the provision of face to face services may change depending on public health advice or the health of your treating psychologist.

Physical Wellbeing: Viruses

If your psychologist is unwell, you will be contacted with as much notice as possible and your appointment will be rescheduled to a mutually agreed time.

We ask that clients do not attend the clinic if they are unwell in order to maintain the health and wellbeing of other clients, your psychologist and the wider community.

In the event a client is unwell, has a cold, flu, COVID or any other infectious illness or virus, it is asked that this information is passed on to your psychologist as soon as possible so that the scheduled appointment can be changed to telehealth (phone) or rescheduled.

The Mindsight Wellbeing Clinic has hand sanitizer readily available for use.

Physical Wellbeing: Intoxication

If a client arrives and is intoxicated by drugs or alcohol, their appointment will be cancelled and another appointment will be scheduled. The session cancellation will work in line with our cancellation policy and the client will be billed for the session. As with the cancellation fee, rebates under Medicare or Private Health Insurance will not apply.

Emotional Wellbeing: Violence and Aggression

Mindsight Wellbeing does not tolerate violence and aggression. If a client is violent or aggressive, attempts will be made to defuse the situation.

At all times, the safety of staff and members of the public are a priority. If required, the client will be requested to leave the suite. Police will be called if the situation can not be defused.

In this instance, the client will be advised after the event that they are no longer able to access services at Mindsight Wellbeing and will be referred back to their GP.
