Payment and cancellation policy

Due to the volume of clients in need of services, each available appointment is not only imperative but valuable to both you as the client and to the provider to maintain the efficiency of the practice.

Appointments must be cancelled via phone/ sms or email 24 hours in advance excluding holidays and weekends. For instance; if calling to cancel for a Monday appointment, the cancellation must be made by Friday. If cancelling over a public holiday the holiday itself does not count as normal business hours.

When you make an appointment, that time is reserved specifically for you. We understand that sometimes people are unable to keep appointments due to other commitments, illness or emergency however please ensure you provide the practice with sufficient notice to assist us to maintain the practice.

Medicare and privately billed clients

The fee is payable at the end of each session by cash or eftpos unless otherwise discussed. If you have a valid Mental Health Treatment Plan or Eating Disorder Treatment Plan in place, a rebate of $85.20 will be processed into your nominated bank account.
Clients attending under a Better Access Mental Health Treatment Plan are allocated 10 sessions in total per calendar year. A GP review will need to be conducted after session 6 and once the review is received a further 4 sessions will be issued by the GP
Clients attending under an Eating Disorder Treatment Plan are allocated up to 40 sessions per calendar year. A GP review is conducted every 10 sessions. Initially at the conclusion of session 10 to access sessions 11-20. If sessions are required beyond 20 sessions a psychiatrist review must be completed to access the remaining 20 sessions. This will be arranged through your GP.

Cancellation fees for Medicare or Privately billed clients will incur the following:

Less than 24 hours’ notice of cancellation will result in a charge of 50% of the service fee.
Non attendance without notice at all will result in a charge of 100% of the service fee
Three (3) cancellations in three (3) months without rebooking will result in the cancellation of any remaining pre-booked sessions and you will be placed onto the waitlist.
Three (3) cancellations (or non attendances without notice) in a row will result in disengagement from the Practice
Any outstanding fees incurred will require payment before any subsequent sessions can be booked/attended.

Third party funded clients

Clients attending under third party funding such as under the Primary Health Network through Rural Health Connect, or other third party providers are allocated a standard session time of 50 minutes. The cost of this session is covered by the third party and an invoice will be sent from my practice to the agency at the end of the sessions. Season numbers are applied according to the procedures of the third party provider.

Cancellation fees for third party billed clients will incur the following:

Less than 24 hours’ notice and non-attendance will result in a nominal charge of $50
Three (3) cancellations in three (3) months without rebooking will result in the cancellation of any remaining pre-booked sessions and you will be placed onto the waitlist.
Three (3) cancellations (or non attendances without notice) in a row will result in disengagement from the Practice.

Cancellation fees for NDIS Clients are based upon the NDIA Guidelines and are the following:

Less than 48 hours’ notice and non-attendance will result in a charge of 100% of the fee.
Three (3) cancellations in three (3) months without rebooking will result in the cancellation of any remaining pre-booked sessions and your child will be placed onto the waitlist.
Three (3) cancellations in a row will result in disengagement from the Practice.

We understand that sometimes you may be unable to attend a session due to sudden illness or an unexpected personal emergency. If this happens to you, please contact the practice as soon as possible to explain the situation and to rebook the session to avoid a cancellation fee.
